Reporting to the Construction Manager, you'll keep our projects organized, on schedule, and on budget - from permits and contracts to site inspections and close-out. You'll work across the office and on-site, partnering with trades, consultants, and our internal team from day one through occupancy.
As Project Coordinator, you are a key member of our team responsible for providing assistance within the office and on-site. You're someone who is organized, gets the job done accurately and in a timely manner, and communicates effectively with supervisors, colleagues, and suppliers. You are self-motivated, trustworthy, and have a strong work ethic.
Responsibilities:
- Generate project budget and schedule for Construction Manager to review
- Estimate and assist site personnel with material orders needed for construction
- Monitor contractor performance and ensure adherence to terms of contracts
- Assist with project scheduling and its maintenance
- Perform site inspections for quality control and accuracy to drawings and specifications
- Coordinate and administer all municipal permit processes after the development permit has been issued
- Coordinate and schedule construction meetings; distribute and maintain accurate minutes from each meeting
- Generate project reports
- Administer site accounting including tracking invoices, coding to budget, ensuring declarations and insurance are current, and verifying work completed is accurate
- Create and maintain project files, both electronic and hard copy, for accurate record keeping
- Assist with draw submissions, applications, payments, and lien releases
- Manage project drawings, specifications, shop drawings, and all submittals; work with trades and consultants to ensure accurate as-built drawings are produced
- Administer all project close-out documentation including commissioning and deficiency tracking
- Assist with Request For Information submittals, track Site Instructions, and the corresponding Change Order process
- Generate subtrade contracts including scope of work for Director of Construction to review and award
- Coordinate and assist the Customer Service Manager with all pre-occupancy and occupancy walkthroughs
Qualifications:
- Minimum 3 years of project coordinator experience working for a developer or GC
- Ability to understand drawings in all disciplines
- Accounting experience in the construction industry is an asset (i.e. holdbacks, etc.)
- Office administration experience
- Effective communication skills, both written and oral
- Extremely high attention to detail and quality standards
- Strong problem-solving skills; resourceful and solutions-minded
- Team player who can work independently and is reliable
- Physically able to conduct on-site tasks as needed
Education & Certifications:
- Post-secondary degree
- Accounting diploma/certificate is an asset
- Intermediate MS Office skills
- Accounting software experience
- Timberline/TimberScan software experience is an asset
Requirements:
Reliable transportation for weekly travel between job sites.
